How do I track my team's cards and permits?
Go to Employees › Cards and permits. See what's expired, expiring soon or missing, and click Remind to email the employee.
Go to Employees › Cards and permits. At the top, Expired, Expiring soon and Missing count what needs a look. The list starts on To fix: click Remind on a row to email the employee.
Also called: certifications, licences, permits, ASP Construction, first aid, expiry, renewal, cartes de compétence, permis, certificats, échéance, renouvellement
Step 1: Choose the cards you track
Click Card types, then Add the usual ones or Add a type. Tick Required of every active employee when everyone must hold it: Alori then lists anyone who lacks it as Missing. Set Remind this many days before to choose when a card counts as expiring soon.
Click: Employees › Cards and permits › Card types
Step 2: Add each person's card
Click Add a card, pick the Employee and the Card or permit, then type the Number, Issued on and Expires on. Click Save.
Click: Add a card › Save
Step 3: Fix what needs it
The figures at the top show how many cards are Expired, Expiring soon and Missing. Under them, To fix lists those cards, the most urgent first. Valid shows the rest, and All everything. Click Remind on a row: Alori emails the employee about that card. On a computer, click Edit to type the new expiry once they renew it. Click a person to open their file.
Click: To fix › Remind
Good to know
Alori also reminds by itself each morning: you get a notification when a card enters its reminder window or expires, and the employee gets an email.
The Overview shows a line with what needs a look, or "All valid".
People who left aren't listed.
You can ask Ask Alori: "Whose cards expire this month?"
If it doesn't work
"{name} has no email address on file." Add a work or personal email on their file, then click Remind again.
"This employee already has that card: edit it instead." Click Edit on that card.
"Check the dates: a card can't expire before it was issued." Fix Issued on or Expires on.
